Position: Business Office Assistant

Reporting Relationship:  Accounting Manager and Director of Finance

Classification Status:  Exempt 12-month position
Position Purpose: Processes Account Payable, Accounts Receivable payments, and coordinates Human Resources Activities

Essential Functions: Accounts Payable and Accounts Receivable

Maintains vendor files, including storage and archive of contract files.
Assures appropriate clearance, purpose and approvals have been obtained.
Prepares billings for reimbursement including matching Purchase orders to invoices
Determines account numbers to be charged and date to be paid.
Inputs and prints checks to be paid in accounting system
Researches vendor inquiries, resolves invoicing discrepancies, follows up on credits due and assists with other communications to vendors and contractors as needed.
Posting of cash receipts, credit card and student billing payments as requested by the Accounting Manager.
Essential Functions: Human Resources

Assists with recruitment and interview process
Assist with On-boarding of employees and all required paperwork, including I9’s and background check verification.
Assist with employee health/dental/life benefits administration by working with outside broker and human resources consultant.
Ensure timely reporting of Workers Comp claims and student accident reports to insurance carriers
Track employee time off and leaves of absence
Assist with payroll processing as necessary
Request and maintain Certificates of Insurance for off-site venues
Perform customer service functions by answering employee requests and questions
Other special projects as assigned by Finance Director or Accounting Manager.

Two years office experience with accounts payable, or receivables
Two years of professional experience working in Human Resources.  Basic knowledge of state and federal labor law regulations and employee benefits required.
Strong customer service, interpersonal, written and oral communication skills
Well organized, detail oriented, ability to multi-task and work well to meet multiple and conflicting deadlines.
Ability to handle confidential information with great sensitivity
Must have strong Microsoft software skills and Blackbaud or other accounting software experience a plus
Resourceful in internet knowledge sourcing and research
